Answers to Hot Issues from On-Site Supporting Events of the First China International Import Expo

Q1: Why are we organizing on-site supporting events?

A: They are beneficial for interpreting policies, promoting cooperation and serving the target location of the First CIIE, for supply and demand matchmaking, promoting communication, and improving the exhibition’s efficiency, and for diversifying exhibition functions, enhancing the exhibition’s value and boosting the sustainable and healthy development of the exhibition. To organize these on-site supporting events, the Office of the Preparatory Committee of the First CIIE has issued the Scheme for On-Site Supporting Events of the First China International Import Expo, which covers their basic thoughts, main principles and general arrangements. All relevant units should prepare for the CIIE according to this scheme.

Q2: What are the types of these on-site supporting events?

A: According to the Scheme for On-Site Supporting Events of the First China International Import Expo, the on-site supporting events can be categorized as: 

(1) national themed activities, including national commodities, services and cultural promotions; 

(2) forums, including policy interpretations and authoritative releases; 

(3) release activities, including the release of new products, new technologies and new concepts from exhibitors, brand promotional events, professional games and product experiences; 

(4) matchmaking and signing events, including supply and demand matchmaking conferences and purchase signings; 

(5) banquets and parties, including breakfast parties, luncheon parties, dinner parties and cocktail parties; 

(6) online shopping.

Q4: Who can be the host of an on-site supporting event?

A: According to the Scheme for On-Site Supporting Events of the First China International Import Expo, the hosts of on-site supporting events include: 

(1) participating countries (regions) for national exhibitions, participating international organizations, significantly influential international organizations, and members of the Preparatory Committee; 

(2) provinces, autonomous regions, municipalities, people’s governments of municipalities with independent planning status and the Xinjiang Production and Construction Corps (local trade missions), Central Government-owned Enterprises Trading Group and its branches, as well as industry organizations and enterprises that play an important role in organizing purchasers; 

(3) Fortune Global 500 enterprises or industry leaders, as well as institutions and enterprises making great contributions to exhibition invitation and investment promotion.

Q5: What do hosts need to do?

A: The hosts’ main duties during on-site supporting events are as follows.

(I) Confirm the organization. Conduct timely matchmaking work with the China International Import Expo Bureau and the National Exhibition and Convention Center (Shanghai), covering contract signing, deposit payment, and the communication of conference details (conference service: 021-67008835/67008977/67008602/67008979; contracts: 021-67008704/67008661).

(II) Organize the event. Invite guests and visitors in time according to event themes and contents, so as to organize it well.

(III) Submit personal information. Submit the personal information of participants (organizers, guests, visitors, etc.) who are unqualified for admission to the First CIIE. Methods include: hosts collect relevant personal information according to the requirements, and input this information to the system of the on-site supporting events of the First CIIE; for those requiring more input information (over 500 persons), please contact the China International Import Expo Bureau and National Exhibition and Convention Center (Shanghai) for batch import.

(IV) Issue credentials. Make the credentials of on-site supporting events for the participants (organizers, guests, visitors, etc.) who are unqualified for admission to the First CIIE. Hosts are responsible for issuing ready-made credentials to the relevant people.

(V) Strengthen the investigation and monitoring of events. Implement the Scheme for On-Site Supporting Events of the First China International Import Expo, strengthen pre-investigations and on-site monitoring on content as well as on opinions and behaviors according to the principles that “organizers are responsible”, and formulate and improve contingency plans.

Q6: How can the information system for the on-site supporting events be used?

A: The system is for hosts to use.

(I) Obtain a username and password. After a host signs a contract with pre-payment, the China International Import Expo Bureau and the National Exhibition and Convention Center (Shanghai) provide an exclusive username and password for the host to use the information system for on-site supporting events.

(II) Login. Visit the official website www.ciie.org of the CIIE, and click “Event Management” under “Supporting Events”.

(III) Input personal information. Input the personal information of participants (organizers, guests, visitors, etc.) who are unqualified for admission to the First CIIE into the system after login.

(IV) Maintain timely communication. In case of any questions encountered during the use of the information system, please contact us: 021-67008949/67008945.

Q7: Who can participate in on-site supporting events?

A: Generally speaking, in addition to the guests and media invited by hosts during the event, other participants mainly include professionals, such as exhibitors and purchasers. When it comes specifically to on-site supporting events, intended participants are generally required to contact hosts for permission.

Q8: What credentials should the participants of on-site supporting events handle?

A: Participants include organizers, guests, visitors, etc. Events are classified into two categories according to the venue: inside and outside of the CIIE pavilion.

(I) Events held inside the pavilion.

Participants of this type of event are qualified to enter the pavilion and participate in specific events.

To qualify for admission, participants must follow the relevant procedures. Exhibitors, purchasers and specially-invited guests are generally qualified to enter the venue with related credentials. Those who are unqualified for admission must obtain permission from their host for participation, and then they must submit their personal information to their host as required and obtain credentials made by the CIIE and issued by their host, and they will thus qualify to enter the pavilion.

Participants will qualify for specific events with the approval of their host. Whether a special credential is required shall be decided by their host.

(II) Events held outside of the pavilion.

Once approved by their host, participants qualify for events held outside of the pavilion. Whether special credentials are required shall be decided by the host.

Q9: What should the participants do upon entering the venue?

A: There are two circumstances to consider:

Participants of activities held inside the pavilion must confirm whether they hold the related credentials (such as VIP cards, exhibitor cards, trade mission cards and media cards) of the First CIIE for admission on that day; without these cards, they have to submit the relevant personal information to their host as required, and then they must maintain timely communication with the host to obtain their credentials for admission. They shall enter the specific venue according to the requirements of their host after entering the pavilion.

Participants of activities held outside of the pavilion shall enter the venue according to the requirements of their host.
